University of Cape Town rolls out Mazik Global solution

Mazik Global has been assisting with the consolidation of business processes at the University of Cape Town to deliver on the strategic requirement of improving constituent relationship management across various divisions.

To date the project has successfully delivered on this result and has enhanced insight and collaboration between the International Academics Programmes Office (IAPO), Student Admissions and Recruitment, Career Services, Finance and Institutional Planning to name a few.

The requirement was to roll out in phases with the consolidated processes in International Academic Programs Office (IAPO) and Student Admissions and Recruitment office to be implemented first.
The main service offered by the International Academic Programs Office (IAPO) is management of international students’ affairs including the pre and post admission processes. On the other hand the main service offered by Student Admissions and Recruitment office is the administration of the admissions process, including fees and clearance. The office is also responsible for the recruitment of students, and also manages relationships with schools and colleges.

“UCT chose Microsoft Dynamics as a CRM solution that could be implemented with minimal customisation and integrated across a diverse range of existing operational systems, to provide a comprehensive and consolidated view of our interactions with key constituents,” says Richard van Huyssteen, director: System Division at UCT.

“Our initial implementation has realised benefits in the student recruitment area, where relationships with feeder schools nationally are now managed from a single system, as well as in the management of partnership relationships with other universities across the globe.”

“The premise for our proposition is that Microsoft Dynamics CRM works with SharePoint and Outlook so that it forms part of the user’s daily workbench” says Vivian Buttle, Director Enterprise Solutions at Mazik Global South Africa. “Standard CRM functionality is inherent for all relationship management perspectives, sales, services and marketing activities and communications and also bulk email facilities, workflow, knowledge cases and Job Queues. Making use of the (Extended CRM) xRM capabilities of Microsoft Dynamics CRM, the required processes, functionalities and workflows were configured and developed to suit UCTs specific requirements and in accordance to the higher education industry best practices.”

Obtained strategic benefits of the ongoing project has been to offer automated processes and functions across the various divisions as well as improving collaboration between the Recruitment and Admissions offices.

“Mazik’s effort to understand our requirements, combined with the product knowledge, work ethic and dedication of their consultants has been instrumental in enabling us to achieve a stable CRM implementation within the time and budget available” says van Huyssteen.

“The next phase of the project will continue to deliver on the vision of the International and Recruitment & Admissions departments and will ensure improved student satisfaction and retention for the university in the long term” said Buttle. “The project along with other collaborative engagements with higher education institutions and TVET colleges form part of Mazik Global’s vision for its comprehensive education solution, MazikEd.”
